All exhibits must be in show condition and operational by 8:00p on Sunday, March 2. A company with no evidence of presence by 8:00p on Sunday, March 2, will be considered a no-show and space will be reassigned.

October 1, 2024: Exhibitor Service Kit
The Exhibitor Service Kit is available online through Freeman.
October 1, 2024: Badge registration opens
Link will be available through the exhibitor portal
November 1, 2024: Cancellation Deadline
Deadline to receive 50% refund for booth cancellation end. 100% forfeiture on this date.
January 3, 2025: Company Categories
Last day to submit selected products and categories for the onsite final program
January 30, 2025: Advance Shipment
Shipment may begin arriving at the Freeman Warehouse 8:00a
February 3, 2025: Advance pricing and EAC Forms
This will be the last day for exhibitors to get advanced pricing from our vendors for show services and to submit Exhibitor Appointed Contractor (EAC) information.
February 24, 2025: Last Day for Advance Shipment
This is the last day for advance shipment to arrive at the Freeman warehouse without surcharges – 4:30p
February 28, 2025: Last Day Advanced Exhibitor Registration
After this date any Exhibitor Registration activity must be conducted onsite at the Exhibitor Registration Desk inside Bayside B.

Booth Fees & Payments
Invoices will be sent once the booth is confirmed and assigned. If you request a move or increased booth space, then invoicing will take place once a new location has been agreed upon. Once the invoice has been received, companies will have net 45 days for payment. If payment is not received by this time, booth space will be released.

Start-Up Zone Package Fee Includes
- Booths will be 8 x 5 ft.

- One (1) complimentary lead retrieval device
- Two (2) complimentary badges per stall
- Two (2) standard chairs or stools and one (1) counter/table

- Must be new to the veterinary industry with an official business license issued no later than Feb. 28, 2023
- Must be a first-time exhibitor at WVC.
- May only participate in the Start-up area once.

Exhibitor Eligibility
Exhibitor Eligibility
All companies that apply to participate in the WVC Annual Conference must receive approval from show management. Show management is looking for products that are used in the clinical setting in the treatment of animals or in the operation of a clinical environment. Show management reserves the right to review products promoted by exhibitors to determine if they are appropriate for our participants. Products that do not meet our criteria will not be given the approval to participate.
NOTICE: NO SUITCASING!
If an exhibiting company promotes products onsite other than what they were approved for, they can be asked to leave the exhibitor floor.
